If you run a small business in India, your shipping invoice is not just a receipt — it is the document that protects your input tax credit (ITC) and keeps your GST returns clean. Get it wrong and you either lose credit or invite questions at filing time. Here is how to get it right.
What a compliant shipping invoice must carry
Every Deliverail tax invoice includes the fields a GST-registered buyer needs to claim ITC:
- Supplier and recipient GSTIN — both, when the recipient is registered.
- A unique, sequential invoice number and the invoice date.
- HSN / SAC code for the transport service.
- Taxable value, GST rate, and tax amount shown separately.
- Place of supply, which decides whether the tax splits as CGST + SGST or shows up as IGST.
Note: for an inter-state movement — say Surat to Udupi — the tax is IGST, not CGST + SGST. Booking from the wrong state on your account is the single most common reason an invoice gets rejected by a buyer's accountant.
The mistakes that quietly cost SMBs money
- Mismatched GSTIN. If the GSTIN on the invoice does not match the one on file in the GST portal, the credit will not reconcile in your GSTR-2B.
- Missing place of supply. Without it, the CGST/SGST vs IGST split is ambiguous.
- Bundling taxable and exempt charges into a single line, so the taxable value is unclear.
- Treating a proforma quote as a tax invoice. A quote is not claimable; only the final tax invoice is.
How Deliverail keeps it simple
When you add your GSTIN to your business profile, every booking generates a numbered tax invoice automatically:
| You provide | We generate |
|---|---|
| Business name + GSTIN | Sequential GST invoice number |
| Pickup & delivery cities | Correct place of supply |
| Shipment weight & type | Taxable value + GST breakup |
Invoices are downloadable as PDF straight from your shipment history, so reconciliation at month-end is a copy-paste exercise, not a treasure hunt.
Bottom line: add your GSTIN once, ship as usual, and your paperwork stays audit-ready without extra effort. Your accountant will thank you.
